The Holiday Template feature is a new addition to the Smart Time-off tool designed to help teams organize and remember their holidays.

🎯 Open the Smart Time off >> Settings >> Holiday Template tab to start using the holiday Template.

Initially, two default templates are available:

  1. Ukrainian holidays.

  2. An empty preset, which allows you to create custom holidays for the team

Creating a Holiday Template:

  1. Click the ‘Create Holiday Template’.

  2. Enter the Template name.

  3. Select participants or user groups who will be associated with this Holiday Template.

  4. Choose a default template or add a new holiday by clicking the ‘Add Holiday’ button.

  5. Enter the Holiday name.

  6. Select the date for the Holiday.

  7. Click the ‘Save’ button to save the Holiday.

  8. Click the ‘Save’ button to save the Holiday Template.

Now the Holiday Template was created!

The total days off is the value for the Holidays which falls on the business days (Monday-Friday)

Multiple holidays can be created within a single template.

Information about Holidays will be shown on the Calendar

Users can choose to receive notifications about upcoming holidays either through Slack or via email.

Slack integration

Teams who use Slack can integrate Smart Time-off Notifications with the Slack Bot by the following steps:

  1. Create your Slack App

  2. Enable Incoming Webhooks

  3. Create an Incoming Webhook

  4. Copy the Webhook URL

  5. Go to the Smart Time-off menu in the Manage Apps section

  6. Select the Integration item in the left sidebar

  7. Click the Add a Webhook button

    E-mail integration

    The E-mail (info) How to enable the

    Integration

    feature allows users of the Smart Time-Off App to seamlessly communicate and notify approvers about their time-off requests and notify users about holidays. Additionally, the requesters are informed about the status of their request (whether approved or declined) through e-mail.

    E-mail integration

    To enable the E-mail integration need to do the next steps:

    1. Go to the ‘Smart Time-off’ menu in the Manage Apps section.

    2. Select the Integration item in the left sidebar.

    3. Click on the ‘E-mail’ to open the ‘E-mail’ integration tab.

    4. Click on the toggler, to enable E-mail integration.

    5. Select any available issue from the list.

    The issue must be selected so that Jira can mail letters. No data will be changed in Issue, after creating new requests in Smart Time-off.

    Also, you can create any new test issue, in any project that will be tied to the E-mail integration in Smart Time-off

    1. Enable the notifications that you want to receive: Request notifications, Holiday notifications, or both.

    2. Select the user(s) who will receive a notification to the e-mail and enable which type of notifications the user(s) will receive.

    ⁉️ How to Use E-mail integration for requests:

    1. Creating a Time-Off Request: Once you've filled out your time-off details in the Smart Time-Off App, simply submit the request. The selected approvers will automatically receive an e-mail notification regarding your request.

    Every approver will receive this letter about the created request:

    1. Reviewing Approvals or Declines: After your request has been reviewed, you'll receive an e-mail notification informing you about the decision (approved or declined).

    The e-mail letter about the approved or declined request will be received by the user who created the request and who is in the requester field.

    ⁉️ How to Use E-mail integration for holidays:

    1. Creating a holiday. When the day of the holiday arrives, the user(s) will receive a notification about the holiday by email

    2. Enable the checkbox for the Holiday notifications on the Integration page.

    3. Select the user who will receive the notification about holidays and add them.
