Manage Link Templates

The Link Templates feature allows users to efficiently create, manage, and apply link templates within Jira. This guide walks you through the step-by-step process of managing and creating link templates.

Create Link Template

Users can create new link templates to store predefined link structures, making issue linking more efficient.

Steps to Create a Link Template

  1. Open the Manage Link Templates page

  2. Click the ‘Add Link Template’ button

  3. Enter Link Template Details:

    • Link Template Name: Provide a meaningful name (e.g., "Documentation & Knowledge Base References").

    • Description (Optional): Add a brief description of what this template does.

    • URL: Input the URL format for the link (e.g., https://jira.company.com/browse/{ISSUE_KEY}).

  4. Click "Create" to create the link template.

Edit Link Template

You can update an existing link template to modify its details, such as the name, description, or links.

Steps to Edit a Link Template

  1. Open the Manage Link Templates Page

    • Navigate to Link Templates from the sidebar.

  2. Select the Link Template to Edit

    • Locate the template you want to update from the list.

    • Click on the Edit (pencil) icon next to the template.

  3. Modify Template Details

    • Update the Template Name, Description, or Links as needed.

  4. Save Changes

    • Click Update to apply your modifications.

Delete Link Template

To delete a Link Template:

  1. Find the Template in the Link Templates list.

  2. Click the Trash Bin Icon in the "Actions" column.

  3. Confirm Deletion:

    • A confirmation dialog will appear.

    • Click "Delete" to move the template to the trash.

Deleted Link Templates are moved to the trash for 30 days before being permanently deleted.

To access deleted templates:

  1. Click on the Trash bin icon at the top-right of the Manage Link Templates page.

  1. The Trash Table displays:

  • The Template Name.

  • The Owner.

  • The Days Left before permanent deletion.

Restore Link Template from the Trash

If a Link Template was deleted by mistake, it can be restored before it is permanently deleted. Templates in the Trash remain available for 30 days, after which they will be automatically removed.

To restore a deleted Link Template:

  1. Open the Trash Link Templates page by clicking the Trash bin icon.

  2. Locate the template you want to restore.

  3. Click the Restore icon next to the template.

  4. The template will be moved back to the Manage Link Templates page and will be available for use again.

Delete Link Template from the Trash

If a Link Template is no longer needed, it can be permanently deleted from the Trash. This action cannot be undone, so ensure that the template is no longer required before proceeding.

To permanently delete a Link Template:

Open the Trash Link Templates page by clicking the Trash bin icon.

  1. Locate the template you want to permanently delete.

  2. Click the Delete Permanently icon (🗑️) next to the template.

  3. A confirmation popup will appear—click "Delete Permanently" to confirm.

  4. The template will be completely removed from the system.

Note: Once a Link Template is permanently deleted, it cannot be restored. Be sure to double-check before confirming the deletion.

Set a Link Template as Favorite

To mark the Link Templates that you use frequently, you can set them as Favorites.

Add Link Template to Favorite

To add a Link Template to the Favorites list:

  1. Navigate to the Manage Link Templates page.

  2. Identify the Link Template you want to mark as Favorite.

  3. Click on the Star icon next to the template name.

Once a template is marked as a favorite, it will be easier to access when applying templates to Jira issues.

Remove Link Template from Favorite

If you no longer need quick access to a Link Template, you can remove it from Favorites.

Steps to Remove a Link Template from Favorites

  1. Navigate to the Manage Link Templates page.

  2. Locate the Link Template that is currently marked as Favorite (indicated by a filled Star icon ⭐).

  3. Click on the Star icon again to unmark it.

Once removed, the template will no longer appear in your Favorites list, but it will still be available for use in your Link Templates.
