Apply Template

The Apply Template action enables you to create a new Jira Issue with prepopulated field values or transfer selected field values to an existing one. In the SITC plugin, several screens and methods are available for applying a Template. These include:

  • Apply the Template from the Templates table on the 'Manage Templates page

  • Apply the Template from the ‘Apply Template’ button in the top right corner on the ‘Manage Templates’ page

  • Apply the Template with the Create Issue Jira dialog

  • Apply the Template from the Project Side Navigation panel

  • Apple the Template to the Existing Jira issue

Apply a Template from the ‘Manage Templates’ page

Applying a Template from the ‘Manage Templates’ page can be done in two ways:

  1. Apply the Template from the Templates table on the 'Manage Templates page

  2. Apply the Template from the ‘Apply Template’ button in the top right corner on the ‘Manage Templates’ page

The ‘Apply’ button is located near the Template name in the Templates table on the ‘Action’ column located

To apply the Template, you need:

  1. Select the Template that needs to be applied

  2. Click the ‘Apply’ button in the ‘Action’ column

If the Template has an ‘available for scope’ option in the 'Apply Template' dialog will be shown only correct projects and issue types that fit the scope.

  1. Select the Jira Project and Issue type to which you want to apply the Template

  2. Select the mode for applying:

  • ‘Create’ button - apply without adding changes to the issue,

  • ‘Advanced Issue Creation’ button - apply Issue by adding changes to the Issue fields

After using the ‘Create’ button to apply a Template without adding changes to the fields - your Templates will be applied and a Jira Issue will be created.

To Apply Template from the ‘Apply Template’ button:

  1. Open the ‘Manage Templates’ page

  2. Click the ‘Apply Template’ button in the top right corner of the page

  3. Select the Jira Project and Issue type to which you want to apply the Template

  4. Click the ‘Template’ selector to choose the available template

Remember, the Template picker will contain Templates that have Scope matched with the current issue, project, and issue types field and if the current user has access to the Template.

  1. Select the mode for applying:

  • ‘Create’ button - apply without adding changes to the issue,

  • ‘Advanced Issue Creation’ button - apply Issue by adding changes to the Issue fields

After using the ‘Create’ button to apply a Template without adding changes to the fields - your Templates will be applied and a Jira Issue will be created.

After using the ‘Advanced Issue Creation’ button to apply a Template by adding changes to the fields - your Templates will be applied and a Jira Issue will be created.


Applying Modes for the Templates

For applying the Template we added two modes:

  1. Apply without adding changes to the issue - the ‘Create’ button in the ‘Apply Template’ dialog

  2. Apply Issue by adding changes to the Issue fields - the ‘Advanced Issue Creation’ button in the ‘Apply Template’ dialog

Simple mode for ‘Applying Template’ from the ‘Create Issue’ button

This method is suitable if you don't want to make any changes to the Jira Issue. It`s a simple and quick-to-apply Template method.

To apply a Template with this simple mode:

  1. Select the Template that needs to Apply

  2. Click on the ‘Apply’ button in the ‘Actions’ column

  3. Select any available Jira project and Issue type from the list

  4. Click the ‘Create Issue’ button

Now the Template was applied and the Jira Issue was created

This method is suitable if you want to change the Jira Issue fields: update data in the fields.

To apply a Template with this advanced mode:

  1. Select the Template that needs to Apply

  2. CLikck on the ‘Apply’ button in the ‘Actions’ column

  3. Select any available Jira project and Issue type from the list

  4. Click the ‘Advanced Issue Creation’ button

Now the Template was applied and the Jira Issue was created

Create another Issue option

We added the ability to create several Jira Issues while applying the Template.

To enable the create another Issue option:

  1. Select the Template that needs to be applied

  2. Click the ‘Apply’ button in the ‘Actions’ column

  3. Select any available Jira project and issue type from the lists

  4. Enable the ‘Create another issue’ checkbox

  1. Select the mode for applying ('Create Issue' button or 'Advanced Issue Creation' button)

Now the Templates can be applied several times in a row

The Template can be applied in the Create Issue Jira native dialog. For that method of applying needs to Create a Template, add the SITC Template custom filed to the Jira projects

To add the SITC Template field to the Create Issue Jira dialog:

  1. Go to Manage Apps > Smart Issue Templates > Settings

  2. Click the ‘Enable UI Modifications’ button in the ‘Global Issue Create Dialog UI Modifications’ section

  3. Select the projects for which need to add the UI Modifications

  4. Click the ‘Confirm’ button in the ‘Confirmation’ dialog

  5. Now go to the Jira Issues Settings > Custom Fields

  6. Enter the ‘SITC’ in the search

  7. Click the ‘Actions’ button and select the ‘Associate to Screens’ action

  8. Associate it to all desired screens and click the ‘Update’ button

After that need to add this custom field to the Jira project.

To add a custom ‘SITC Template’ field to the Jira Software company-management project:

  1. Click the ‘Create’ button to open the Create Issue Jra dialog

  2. Click on the ‘More menu'

  3. Click the ‘Show fields’

  4. Enable the ‘SITC Template’ checkbox

  5. Click the ‘Apply’ button

Now the ‘SITC Template’ custom field will be shown in the ‘Create Issue Jira’ dialog

 

Adding a custom ‘SITC Template’ field to the Jira Software team-management project

To add a custom ‘SITC Template’ field to the Jira Software team-management project:

  1. Open the Jira Software team-management project

  2. Click on the ‘Project settings’ on the left side menu

  3. Click on the ‘Issue types’

  4. Select the issue type to add the custom field

  5. Find the ‘SITC Template’ field in the ‘Search all fields’

  6. Click the ‘Save changes’ button

Now the ‘SITC Template’ custom field will be shown in the ‘Create Issue Jira’ dialog

 

After these settings, you can apply Template with the Create Issue Jira dialog

To apply the Template with the Create Issue Jira dialog:

  1. Click the ‘Create’ button in the Main menu

  2. Select the Software Company-Managed or Team-Managed Project

  3. Scroll the dialog down

  4. Click the SITC template field

  5. Select any available Template in the list

  1. Look at the fields that were filled out with data

  2. Add changes if needed and click the Create button

In case the field is not supported by templates or hierarchies, it is still possible to use it - SITC does not change the Jira issue type schema and unsupported fields can be filled manually after the template/ hierarchy application.

Existing Limitations

The Template applied in the Create Issue Jira dialog has field limitations. We are working together with the Atlassian Forge team to implement support for all available Jira fields in the upcoming releases.

Still, all these fields can be applied from the ‘Apply Template’ dialog on the ‘Manage Templates’ page.


Apply the Template from the Project Side Navigation panel

The Apply Template action is now available in the Project Side Navigation panel which can be opened on the Jira Issue View page or Project Overview page, etc.

  1. Click the Manage Templates item in the Side Navigation panel

  1. Select the Apply Template action

By default, the Project you are in will be selected first but it can be changed to any other one. All steps are the same as applying the template from the Manage Templates page.

After one template is applied, the Apply Template dialog will be opened again so it is easy to apply a few different templates in the row.

To close this dialog click the Back to Project button and navigate to any other page you need.


Apply the Template to the Existing Jira issue

There is an ability to apply SITC Templates to existing Jira issues, providing the flexibility to select which fields to overwrite while leaving the remaining fields unchanged. Users can access this feature through a native dialog on the Jira Issue view page, making the process streamlined and straightforward.

To Apply Template to the existing Issue:

  1. Open the Jira Issue View page of the Issue you wish to edit

  2. Click the ‘More’ menu

  3. Select the ‘Apply Template to Issue’ item

  4. Select the available Template

  1. By default, only empty fields will be open to choose from. Click the ‘Choose how the template is applied to the task' selector and select ‘Update all fields from template’ if you wish to rewrite existing data.

  2. Activate checkboxes for fields you wish to apply the Template to.

  3. On the left side will be shown the field content of the original Jira Issue, and on the right side - the result after the template is applied

  4. Click the ‘Apply’ button to apply all changes
